Form Keeper Privacy Policy
Effective October 26, 2026
Coding Friend LLC ("we") makes Form Keeper, an add-on for Google Forms™. This policy explains what data it uses and why. The short version: the add-on does its work inside your own Google account, and your form responses never reach our servers.
What the add-on uses inside your Google account
- Google Forms™: the form you open the add-on in. It reads that form's questions and responses so it can copy them into your archive, and it deletes responses from that form only when your rule picks them and their copies in the archive have been checked.
- Google Drive™ and Google Sheets™: only the archive sheet Form Keeper creates in your Google Drive™. It writes your responses there and reads that sheet back to check each copy. It cannot see any other file in your Google Drive™.
This work runs in Google's systems under your account. We cannot see it.
Permissions we request
We request the narrowest Google permissions that let the add-on work, and nothing more:
- forms.currentonly: See and manage only the form you open it in. Reads that form's responses to copy them, and clears the ones your rule picks after their copies are checked. It cannot open any of your other forms.
- drive.file: See and edit only the files it creates or you pick. Creates your archive sheet and writes responses into it. It cannot see anything else in your Google Drive™.
- script.container.ui: Show a panel in Google Forms™. To display Form Keeper's panel.
- script.external_request: Connect to an outside service. Only to our own license server, to check your plan and send counts (how many responses were cleared, when it last ran). Never the responses themselves.
- script.scriptapp: Run when you're not there. Only if you turn them on: one trigger that copies each new response, and one for your clearing schedule, for that form.
- openid · userinfo.email: See your email address. To know which plan is yours, and where to send the alarm if automatic clearing stops.
We do not request access to Gmail™, contacts, your other forms, or the rest of your Google Drive™. Any new permission a future feature needs will be listed here before it is used, and Google will ask for your consent.
What we store on our servers
- Your Google account email and Google account ID, so we know which plan is yours.
- Your plan: free or paid, and the Stripe customer and subscription IDs that go with your payment. Stripe handles card details; we never see or store them.
- Your free form: a coded fingerprint of the form that your free plan covers (not its address) and its title, so we can show "your free plan covers 'Hall Pass'", plus the date it was chosen.
- Check-ins from automatic clearing: a coded fingerprint of each form with a schedule, when it last ran, how many responses were cleared or held back, and a short error message if one occurred. These let us email you if automatic clearing stops, and send the daily summary of automatic runs (which you can turn off in Settings). Each check-in also carries the form's title, used only to write that email and never stored.
- Activity logs: short records of plan checks, payments and errors, kept to troubleshoot problems.
We do not store your form responses, your questions, or the contents of your archive.
How we use it
Only to provide the add-on: unlocking what you pay for, warning you by email when automatic clearing stops, and answering support requests. We do not sell data, show ads, or use it to market to anyone.
Google user data
Form Keeper's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to train AI models, and no person at Coding Friend reads it unless you ask us to for support, it is needed for security, or the law requires it.
Who we share, transfer or disclose Google user data to
We do not sell Google user data, and we never share, transfer or disclose it for advertising, marketing, data brokering, credit decisions or AI training. Your form responses, questions and archive contents stay in your Google account and are never sent to us or to anyone else.
We share Google user data only with these service providers, only what each needs to do its job for you, and under contracts that limit them to providing that service:
- Stripe (payments): your Google account email address, when you choose to upgrade, so Stripe can send your receipt and link the payment to your plan.
- Hostinger (hosting): stores the data listed under "What we store on our servers" (your Google account email and ID, plan, coded form fingerprints, form title for your free plan, check-in counts) on the server that runs our license service.
- Brevo (email delivery): your Google account email address and the title of the affected form, only to deliver the alarm email and daily summary you can turn off in Settings.
We will also disclose Google user data if the law requires it (for example, a valid court order), to protect against fraud or abuse, or, with this policy still applying, if Coding Friend LLC is merged or sold. We share Google user data with no one else.
How long we keep it
While you use the add-on. Check-ins for a form are deleted within 30 days after it stops checking in. Billing records are kept as long as tax law requires. You can ask us to delete your data at any time. Your archive sheet is yours and stays in your Google Drive™ whether or not you keep Form Keeper.
Security
Google user data is protected like this:
- Everything travels over encrypted connections (HTTPS) only.
- We never receive your Google password or any Google access token. The add-on proves who you are with a short-lived sign-in token signed by Google; our server checks that signature with Google and does not store the token.
- Your form responses, questions and archive never leave your Google account, so they cannot leak from our servers.
- Forms are identified on our server by a one-way coded fingerprint, not by their address.
- The little data we do hold sits on a firewalled server, in files readable only by the Form Keeper service and our administrator.
- Card details are handled by Stripe and never reach us.
Your rights and how to use them
Depending on where you live, you may have the right to know what personal data we hold about you, get a copy of it, correct it, have it deleted, and object to or restrict how we use it. Email support@codingfriendllc.com to use any of these rights. We may ask you to confirm your identity, and we respond within 30 days. We will not treat you differently for using these rights.
You can remove the add-on's access at any time at myaccount.google.com/permissions.
Changes
If this policy changes, we will update the date above and say so in the add-on before the change takes effect.
