Webinar Sync guide
How to add Webinar Sync, connect Zoom, register signups, and remove the app.
What you need
- A HighLevel sub-account where you can install apps and edit workflows.
- A paid Zoom account (Pro or higher). Webinars need Zoom's Webinars add-on. Meetings work too, as long as Registration is set to Required on the meeting.
Adding the app
- In HighLevel, open the App Marketplace, find Webinar Sync, and click Install. Choose the sub-account.
- When the setup page opens, click Connect Zoom.
- Sign in to the Zoom account that hosts your events and click Allow. Zoom asks you to approve these permissions:
- View your Zoom user profile (to show which account is connected)
- View your upcoming webinars and meetings (to list them with their IDs)
- Add registrants to your webinars and meetings
- View the participants of your past webinars and meetings (to tag who attended)
- You're back on the setup page. It shows your connected Zoom account and your upcoming events with their IDs.
Using the app
- Set up your event in Zoom. For a meeting, turn on Registration: Required. Webinars use registration by default.
- Add the action to your signup workflow. In HighLevel, open the workflow that runs when someone signs up (form submitted, survey, funnel opt-in). Add the action Register for Zoom Webinar and paste the event ID from the setup page. If the action isn't in your list, an agency admin needs to turn on Settings → Workflow - Premium Features for the sub-account. The setup page also gives a Custom Webhook alternative.
- Send each person their own link. When a contact runs through the workflow, Webinar Sync registers them in Zoom and saves their personal join link to the contact field Webinar Join Link. Insert that field into your reminder emails and texts. Contacts are also tagged
webinar-registered. - Follow up by attendance. After the event ends, Webinar Sync reads the participant list from Zoom and tags each registrant
webinar-attendedorwebinar-no-show. This usually happens within an hour or two of the start time. Use the tags to start your replay and follow-up workflows.
Using HighLevel Events? Create a workflow that starts when someone registers for your event, add Register for Zoom Webinar with your Zoom event ID, and use the Webinar Join Link field in your event reminders instead of one shared meeting link. Attendance tags work the same way.
A contact needs an email address, because Zoom requires one to register. Contacts without an email are skipped.
Removing the app
To disconnect Zoom:
- Sign in at marketplace.zoom.us.
- Click Manage, then Added Apps.
- Find Webinar Sync and click Remove.
To uninstall from HighLevel: open App Marketplace → Installed Apps, find Webinar Sync, and choose Uninstall.
What happens to your data: once you remove the app from Zoom, it can no longer reach your Zoom account. We delete the stored Zoom connection as soon as Zoom tells us the app was removed, or the next time the app tries to use it. When you uninstall from HighLevel, we delete the HighLevel and Zoom access right away and delete registration records within 30 days. Join links and tags already saved on your contacts stay in your HighLevel account until you delete them. See the privacy policy.
